1 Responsibilities of the Organization

Gazhbin Organization agrees to:

• Provide clear communication regarding tasks, events, and updates
• Offer opportunities for learning, contribution, and teamwork
• Ensure that the Member's time, efforts, and ideas are respected and valued
• Provide necessary support and resources within its capacity

2 Confidentiality

The Member agrees to maintain confidentiality regarding:

• Any sensitive information about participants, activities, or internal discussions.
• Personal data of individuals involved in the organization's projects.

This obligation remains in effect even after the end of the agreement.

3 Voluntary Nature and Compensation

Unless otherwise stated in a separate written agreement, the position may be volunteer, unpaid, or paid as specified.

4 Code of Conduct

The Member agrees to:

• Treat all other members, participants, and partners with respect and professionalism.
• Refrain from discrimination, harassment, or any behavior that could harm the reputation of Gazhbin.
• Work collaboratively and communicate openly with other members.

5 Dispute Resolution

If conflicts arise, both the Member and the organization agree to:

• Address concerns respectfully and directly
• Engage in open discussion or mediation with leadership, if necessary

6 Notice of Resignation

If the Member wishes to withdraw from Gazhbin Organization before the end of the agreement period, they must provide written notice at least two (2) months in advance. This notice allows the organization to plan accordingly and avoid disruption of ongoing activities.

7 Early Termination by Member (Reputation Protection Clause)

If the Member chooses to terminate this Agreement before the one-year term without a valid, documented reason, and such termination is deemed harmful to the reputation or operations of Gazhbin Organization, the Member agrees to compensate the organization with a payment of 2,500,000 Iraqi Dinars (IQD) as a penalty for breach of contract. The decision regarding the harm to reputation shall be evaluated by an internal committee.

8 Misconduct by the Organization

If a Member believes that they have been treated unfairly or that Gazhbin Organization has violated their rights under this agreement, they may submit a formal complaint. An internal committee will be assigned to examine the situation in a fair and transparent manner.

If the committee concludes that the organization acted wrongfully, corrective actions will be taken internally. No financial compensation will be provided to the Member, but necessary changes or decisions will be made to prevent future issues and uphold fairness.

9 Penalty for Lack of Participation

If a Member fails to participate in official Gazhbin Organization activities without a valid excuse or prior notice, they may be subject to a financial suspension penalty of 30,000 Iraqi Dinars (IQD) for each instance. This is intended to ensure accountability and protect the organization's planning efforts. The decision will be reviewed and approved by the internal committee before being enforced.

10 Non-Disclosure of Internal Information

The Member agrees not to share any internal discussions, planning documents, project strategies, member information, or any other non-public details related to Gazhbin Organization with external parties during the term of this agreement or after its termination. A violation of this clause may result in legal action or financial penalties.

11 Use of Gazhbin's Name and Branding

The Member shall not use the name, logo, or identity of Gazhbin Organization for personal benefit, third-party projects, or social media promotion without written permission. Unauthorized use may result in termination of membership and legal consequences.

12 Conflict of Interest

The Member must not participate in activities or collaborations that conflict with the goals, values, or projects of Gazhbin Organization during the term of this agreement, unless explicitly approved by the organization's leadership.

13 Return of Property and Materials

Upon termination of the agreement for any reason, the Member agrees to return any documents, equipment, or materials that belong to Gazhbin Organization within 7 days. Failure to do so may result in a penalty or legal claim.

14 Social Media & Public Representation

The Member shall not speak on behalf of Gazhbin Organization or represent it publicly (online or offline) without prior approval. Any public statements or posts related to the organization must align with its mission and values.

15 Disciplinary Action Process

If the Member is found violating organizational rules or ethics, Gazhbin has the right to:

• Issue an official warning
• Temporarily suspend their involvement
• Terminate the agreement, if necessary

A review committee will oversee the process to ensure fairness.

18 Term and Termination

This Agreement is valid for one year from the start date to the end date. Either party may terminate the agreement with 7 days' written notice, with mutual respect and clarity on outstanding responsibilities.
